For the performance of its activities PharmaMatch B.V. is compelled to process your personal data. PharmaMatch acquires your personal data, inter alia, when you visit its website. PharmaMatch is aware of the fact that it is of essential importance that the personal data of partners and customers as also of its other business relations and website visitors are handled and secured with the utmost care, in conformity with the requirements of the GDPR. PharmaMatch makes every effort to comply with this and works actively on it. PharmaMatch also believes that it is important to serve you in the best way possible when you visit its website.

In this privacy statement PharmaMatch shall be referred to as “PharmaMatch” or as “we”.

This does, in any case, imply that PharmaMatch:

About us

PharmaMatch is established in Amstelveen, in the Netherlands, and is registered with the Chamber of Commerce under number 34272144. Worldwide PharmaMatch markets pharmaceutical dossiers of its own products and of partners in the market. In this respect we focus on generic and niche products, we create added value to already existing pharmaceutical products and we develop in-house dossiers. On the website PharmaMatch also uses links to industry related organisations, sister organisations and partners. You must be aware that PharmaMatch is not responsible for the privacy policy / statement of these other sites and sources. PharmaMatch therefore recommends that you regularly take note of the privacy statements of the said industry related organisations, sister organisations and partners.

When and why do we collect your personal data?

We collect your data via the contact form on our website, when you send us an email, when you contact us (by telephone, in writing or in person) for an offer or advice or when you otherwise rely on our services.

We may contact you within the framework of our services; the marketing of pharmaceutical dossiers of in-house products and of partners in the market. When we process your personal data we do this in conformity with the present Privacy Statement.

We collect and process your personal data because this is required for the implementation of the agreement with you. More specifically, we process your personal data to serve you in the best way possible, including for:

  • the offer of in-house pharmaceutical dossiers and/or dossiers of third parties;
  • the compilation, updating and maintenance of pharmaceutical dossiers;
  • the maintenance and updating of the administration;
  • the submission of the pharmaceutical dossier to the authorities;
  • the assistance in the marketing of pharmaceutical dossiers;
  • the facilitation of, or assistance during, audits;
  • the information about (changes of) services;
  • the assistance during inspections by the authorities;
  • the offer of (support during) laboratory research, inter alia quality issues, batch tests and stability research, and the facilitation / coordination of laboratory research, batch tests and stability research;
  • the information about our services and our product offer or about relevant changes in our services and product offer.

What personal data do we collect of you and what is the retention period?

It is important to us that you can rely on us handling your data responsibly. The data that are processed by PharmaMatch are only the data that are required for the performance of the aforementioned purposes. More specifically, this regards the following personal data:

  • first name;
  • surname;
  • job title;
  • company name;
  • email address;
  • telephone number;
  • company address;
  • company website;
  • the services purchased by you from PharmaMatch;
  • your preferences for products / dossiers / APIs and other specific services of PharmaMatch.

We retain these data as long as required to properly perform, settle and conclude our services and agreements. We retain these data as long as required to perform our services and implement our agreements properly. After that we destroy them, unless we are by law held to retain them longer.

 

With whom can we share your personal data?

PharmaMatch does not sell your personal data to third parties. PharmaMatch exclusively discloses your personal data to third parties if this is required for the performance of its duties, the implementation of an agreement with you or compliance with a statutory duty. Per situation we examine the necessity to disclose certain personal data to a third party or not.

We agree on arrangements about the processing, protection and destruction of your personal data when the processing is no longer required in the form of a processing agreement with all parties with whom we share your data.

What are your rights regarding information, correction / change, the right to be forgotten / erasure and data portability?

You are entitled to information, change, erasure or data portability of the personal data registered of you. To this end you can submit a request to info@pharmamatch.nl.
We handle your request as soon as possible and always within the statutory period of four weeks.

Insight into, correction or erasure of data

You are, where permitted by law, entitled to inspect, correct, erase (have erased) or protect (have protected) your personal data. In addition, you are entitled to revoke your consent to the data processing or to object to the processing of your personal data by PharmaMatch. This kind of revocation does not have retroactive effect.

You are also entitled to data portability. This means that you can submit a request to PharmaMatch to send the personal data that PharmaMatch has of you in a computer file to you or to another organisation designated by you.

You can send you request for information, correction, erasure, data portability of your personal data or a request for revocation of your consent or objection to the processing of your personal data to info@pharmamatch.nl. We handle your request as soon as possible and always within the statutory period of four weeks.

Submit complaint

PharmaMatch also wishes to inform you that you have the possibility of submitting a complaint to the national supervisory authority, the Dutch Data Protection Authority. How do we secure your data?

PharmaMatch believes it is important to secure your personal data against unlawful use. We do this on the basis of physical, administrative, organisational and technical measures. Your data are stored by us in an encrypted manner on a database on our servers with Microsoft.

Your data are secured as follows:

  • The network is protected by means of a firewall that is managed actively and of which the security patches are always installed as soon as possible.
  • Our servers are with Microsoft and are managed by them. All data are exclusively accessible by employees of PharmaMatch and are stored in an encrypted manner. Microsoft organises the underlying updates.
  • Within our organisation our employees only have access to your data if this is required for the purposes as described in this statement;
  • All our employees are aware of the responsibilities that the processing of your personal data brings about.
  • All backups are stored in an encrypted manner.

 

Use of cookies

To perform our services, the use of so-called cookies is necessary. Cookies are small amounts of data that your internet browser stores on the hard drive of your computer. Cookies can store information about your visit to our website. The information stored by these cookies can be sent back to our servers in case of a subsequent visit. Apart from sessions cookies, permanent cookies are also stored. With the help of permanent cookies we can recognise you in case of a new visit to our website. As a consequence the website can be set specifically based on your preferences. Also, if you gave consent to the placing of cookies then we can remember this by means of a cookie. Hence you do not always need to repeat your preferences as a result of which you consequently save time and you can use our website in a more pleasant way.

Use of social plugins

The website of PharmaMatch offers access to the LinkedIn page of PharmaMatch. Via the social plugins third parties can place cookies on your device. This can be cookies that have the objective of optimising your user experience but tracking cookies that are used to follow your surfing behaviour over multiple websites and to create a profile of your surfing behaviour can also be used. This profile is also created on the basis of comparable information that they obtain from your visit to other websites outside their network.

We do not control the manner that cookies are placed by LinkedIn. We recommend that you read and take note of the privacy statement of LinkedIn (which may change regularly) in order to become familiar with what they do with your (personal) data that they process via these cookies.

The information that they collect is anonymised as much as possible and is transferred to and stored by LinkedIn on servers in the United States. LinkedIn states to comply with the Privacy Shield principles and is affiliated with the Privacy Shield programme of the American Department of Commerce. This implies that there is question of an appropriate level of protection for the processing of potential personal data.

Deleting and blocking cookies

Most of the cookies have an expiry date. This means that they automatically expire after a certain period of time and no longer register data of your site visit. You may also decide to delete the cookies manually before the expiry date has expired. You can always revoke the consent that you gave for the placing and reading of cookies by configuring your browser in such way that it no longer accepts cookies or by deleting the cookies that have already been placed in your browser. Applicable law

Apart from the GDPR the (remaining) Dutch law is applicable to this privacy statement. If versions of this privacy policy in other languages contain discrepancies or lead to differences of interpretation then the version in the Dutch language shall be decisive. Any and all disputes on account of or in connection with this privacy policy shall exclusively be brought to the cognisance of the competent court in the Netherlands.
